Facility Booking Information

Below are links to all of the information you will need in order to book the Ataloa Theatre, Chalmers Herman Theatre, David A. & Alma R. Lockmiller Grand Lobby, Art Gallery, Sculpture Garden, Centennial Plaza, Gazebo and Dorothy I. Summers Theatre.

HBFFAC Policies and Procedures- Please read over the Facility Policies and Procedures before signing your request form. You are agreeing that you have read and will abide by them.

HBFFAC Rental Rates- Our rates are based off of the length of time the space is being used, how it is used, and time of day and week it is being used, as well as if your group has non-profit status. If you have any questions when looking at the rates please feel free to ask. For University departments/groups using the theatre- the venue and equipment rates will not apply to you. However, if you chose to use HBFFAC staff to provide technical assistance (such as lighting, sound, fly, projection, spotlight, etc). You will be subject to the Technician fees. We are happy to train people from your group to run our equipment in order for you to not have to pay these additonal charges.

Strike Checklist- This form will allow you to see what we check for in order to return your security deposit. Basically we expect for the theatre or space you are using to be left exactly as you find it. If you pass out programs, you should walk through the aisle to make sure they have all been picked up and thrown out. If you have brought in scenery, it should be removed, etc. Please let us know if you have any questions on this. For University departments/groups- you are not required to turn in a security deposit, however you are expected to strike the facility as if you have a deposit on the line. If you do not leave the facility in the condition required in order to receive a deposit back you may be barred from using the facility in the future. (This form also applies to the Dorothy I. Summers Theatre)

HBFFAC Facility Request- Please fill out this form fully. We have a section by section guide on how to fill it out if you have any questions. This form is here for us to help you create the best event you can have. If you do not request something on the form, we may or may not be able to provide it the day of the event. This form is due when you request your event, no later than 10 business days before the event.

Usher/Staffing Info- This is a brief guide to give you an idea of the minimum number of ushers and technicians that you will need for an event. This is based off of limiting seating to the front for a smaller audience, and the technicians are based off a speaking event requiring minimal technical help. If you know that you have changes that will be made throughout the show, or do not want to limit seating, please let us know, and we will help you determine how many people you will need to staff your event. Please keep in mind that you are responsible to provide Ushers at all open entrances to the theatre to prevent food and drinks from entering. If you desire to have Ushers at the front of the building, those should be in addition to those you have stationed at the theatre entrances.
